Policies & Procedures
Event Administration
Student Athletics Foundation Staff, headed by Jarrell Williams, is the host of this event. He and his team will make every effort to ensure the safety & wellbeing of everyone in attendance. If questions or disputes should arise, please bring it to the attention of Jarrell or his team in regards to on-field activities. Jarrell shall have the final decision on all questions.

Officials
Umpires are being provided by SAF.
- Collegiate Coaches will umpire the showcase games for the individual camp games
- Team showcase games will have two (2) Umpires present for each game
- Coaches, players, and spectators should treat them with respect
- The decisions of an Umpire's call is final
Rosters, Insurance, & Waivers
All student-athletes participating in the camp portion should be properly registered. All student-athletes must check-in prior to the start of the camp. Each participating student-athlete should have their own primary insurance coverage. By registering for this event, you understand, acknowledge, and verify any and all waiver as directed by the Student Athletics Foundation during registration. The rosters for game play will be chosen at random to ensure that each team has a primary position filled and giving student-athletes ample opportunity to compete.
All teams participating in the showcase portion should be properly registered. All teams must check-in prior to the start of their showcase game. Each team will need to submit the following documents at check-in:
- A copy of Team Insurance
- A copy of Roster (sent via email from SAF)
- Copies of Birth Certificates (In case of appeal). These do not have to be turned in
Arrival Policy
Student-athletes and teams should plan to arrive 10 minutes before the scheduled check-in time as the event may start prior to the published time.
Modifications
The SAF Management Team may modify the number or length of games when necessary due to weather, field conditions, or scheduling issues. This includes modifying the time limit if games get backed up
Refund Policy
Refunds for teams that request to be removed prior to August 15 will be issued a refund less a $200 processing fee and for individuals less a $100 processing fee. After August 15 there will be no refunds given for teams or individuals who drop from the event. If the event is canceled due to weather, 50 percent refund of the event fee will be given. SAF Management have the right to change the event format due to weather conditions. If two (2) games have been played there will be no refund. Once the camp starts, there will be no refunds. If the team showcase or camp is canceled due COVID or any other causes, refunds will be issued of the event fee less a $200 processing fee and for individuals, less $100 processing fee.
Local Policies & Ordinances
All student-athletes and teams are required to adhere to local park policies and ordinances. Alcohol and/or tobacco shall not be brought into the confines of the venue. You as an individually are ultimately responsible and accountable for the conduct of yourself, and members of your family
Competition Rules
Student Athletics Foundation will use the National Federation of State High Schools Association (NFHS) with Student Athletics Foundation Softball Rule modifications. If you would like to view or order a NFHS Softball rule book you may do so by going to www.nfhs.com and selecting the 2022 Softball Rules Book. SAF DOES NOT receive any portion of the cost of the NFHS rule book, all proceeds go to NFHS
Age Cutoff:
Length of Game
- Showcase Camp Games: No new innings after 1 hour
- Showcase Team Games: No new innings after 1 hour & 30 minutes or seven (7) Innings, whichever comes first
Extra Innings & Tie Games
No extra innings will be allowed. Games can end in a tie
Run Rule
- 12 run lead after 3 completed innings or 2 ½ innings if home team is ahead
- 10 run lead after 4 completed innings or 3 ½ innings if the home team is ahead
- 8 run lead after 5 completed innings or 4 ½ innings if the home team is ahead
Rosters
- All student-athletes must be added to the team's digital roster form (provided by SAF) on prior to the start of the showcase. A hard copy of this roster form needs to be submitted as well
- Student-athletes who are enrolled in a college or university are not allowed to be on a team's roster and may not participate in this event, even if they are age eligible
- Student-Athletes may not use another person's name, image, or likeness to participate in this event. If a team is in violation of this rule, they will automatically be removed from the event. No refunds or accommodations of any kind will be issued
- Student-Athletes may play with another team playing in the same event, so long as they are within the same LOCAL program/organization. Example 1 (Allowed), Team A is a program with 2 teams entered: Team A-1 and Team A-1AA. Team A-1AA needs a student-athlete from Team A-1 to compete. Example 2 (Not Allowed), Team A is program with multiple franchisees in different areas of the state or country and has 2 teams entered: Team A-1IL1 and Team A-1IL2. These are organizations that may share the same name, but are not the same program
Batting Order & Extra Players
Showcase Camp Games:
1. The Team's appointed Coach shall make it so everyone gets a chance to bat during games. Where student-athletes are placed in the batting order is at the discretion of the appointed Coach
Showcase Team Games:
The Coach may have the option to:
1. Straight 9
- Those 9 student-athletes can play any position on defense
2. EP (Extra Players)
- Allows the ability to bat 10 or 11 student-athletes and any 9 can play defense. These 'EPs' can be placed anywhere in the lineup
3. DP/FLEX
- 10 student-athletes listed, but only 9 bat. The player listed as Flex in the batting order must be placed in the 10th position in the line-up
- The DP can never play defense only
- The Flex can never be on offense only
- The DP and Flex can never play offense at the same time. If the Flex is going to play offense, they have it do it in the original DP’s position, therefore only one of them can play offense at a time
- The Flex and DP can play defense at the same time. The DP can play defense for any player other than the Flex and no one has left the game
- The player starting DP and starting Flex have one re-entry just as all players do
- Once the game is started with the DP/Flex positions in the lineup, those positions are available for the entire game. Even if the starting DP or Flex has left the game a second time, the position is still available and an eligible substitute can enter the game as the DP or Flex
4. DP/FLEX + EP
- This option only allows you to have 11 student-athletes listed in the lineup. Only 10 will bat and any 9 of these student-athletes can play defensively. The Flex must always play defense. The Flex must be listed in the 11th spot on the lineup card
Pitching Rule
- While the pitcher takes the signal, her stride foot may be on or behind the pitcher’s plate as far back as desired
- Once the pitcher initially sets the toe of her stride foot, she CANNOT move it to increase the distance behind the pitcher’s plate
Home/Away Team
Every game a coin flip commence to decide which team is Home and Away
Protests
- All protests will be accompanied be $100 cash before the protest will be discussed or ruled on
- All protests must be made at the time of the play or ruling in question
- Judgment calls cannot be protested
Ejections & Unsportsmanlike Conduct
If a student-athlete or coach, he/she will be suspended for the remainder of the day. If the team is batting their entire lineup, the name of the ejected player will remain in the batting order be skipped with no penalty when the batting order reaches that student-athlete.
In the event a student-athlete, coach, or spectator is acting ejected for any reason, they will be asked to leave the premises. If they choose not to, law enforcement will be contacted
Injuries & Early Departures
If a student-athlete becomes injured (as ruled by the Umpire and/or a Parent/Guardian) and is unable to continue playing, her spot in the batting order shall be skipped with no penalty. Once an injured student-athlete leaves the batting order, she is done for the remainder of that game
Base Distances & Field Dimensions
Every effort will be made to make sure base distances, pitching distances, and field dimensions are accurate by host Miles College
